Counseling

If you have moved to a new address, but still reside in the St. Charles High School attendance zone, you must submit the following updated information to the Counseling Secretary and Student Data Technician in the counseling office in order for the change to be made to your child's record. This will ensure that you receive report cards and other important information by mail.

• Submit a change of address form in addition to providing two current proofs of domicile for your new address.
   
• These three pieces of information can be returned directly to the counseling secretary or can be sent to the school with the student to be given to the counseling office during lunch.

It is important that students keep up with their studies and make up all missed assignments when they are absent from school. The counseling office staff is able to provide assistance with obtaining work from teachers when students are out of school on a prolonged absence (5 days or more). Students who are absent for a short period of time (1-4 days) should return to school with a note verifying the reason for their absence and obtain the work they missed from their classroom teachers upon their return.

Requesting Homework for Long-Term Absences (5+ Days)

• Parents should contact the school counseling office secretary to request work.
• Teachers will be notified of the request and will have 24 hours to submit the assignments to the counseling office.
• Parents may pick up assignments from the counseling office in the afternoon on the day following their request. Parents are encouraged to call ahead to see if work is ready for pickup. 

Counselors are available to facilitate conferences involving parents and classroom teachers. Prior to requesting a conference, parents should:

• Check ParentVUE and communicate directly with the classroom teacher(s) via phone or email. In many cases questions or concerns can be satisfactorily addressed in this way.

If direct contact with the teacher by the means above does not alleviate the concern, parents should contact their child's counselor directly (by phone or email) to request a parent/teacher conference. Please be aware that counselors only facilitate conferences after school and can only facilitate one conference at a time, so there may be a delay between the date of the request and the date of the conference.

School registration involves a two-step process: 1) the online submission of a student's personal information/enrollment documents and 2) an in-person appointment for course selection.  Please see below for details on the school registration/enrollment process:

1. Parents must complete an online pre-registration, submitting all CCPS-required documentation using the registration link below. Submitted registrations are reviewed by the school registration secretary (in the order in which they are received) to ensure that all enrollment documents are correct and that CCPS enrollment criteria has been met.  Upon receipt of a complete and correct registration, the secretary will contact the enrolling parent (court appointed guardian) by phone to schedule an appointment to complete the second step in the registration process.  If a submitted registration does not meet CCPS enrollment criteria, parents will receive an email prompting them to contact the school to discuss the reason why the student's enrollment was denied.  Parents should then correct any submission errors and resubmit their online registration.  This will place the enrolling student at the end of the registration queue and the secretary will again review the revised submission to ensure correctness.
    
2. During the registration appointment the student, parent, and school counselor will meet to review the student's academic record and complete the course selection process.  During this meeting the student's official start date will be determined.  Previously submitted registration documents and agreed-upon schedule information are then used by school registration staff to complete the enrollment process.  Parents receive a confirmation/acceptance email once all enrollment data and the student's schedule have been entered into the CCPS student database.

Current students requesting an official copy of their transcript may do so through the school by following this procedure:

• Print and complete the corresponding form:
  • Hard copy transcript request form
  • Electronic transcript request form
• Submit the completed form and the transcript fee ($2 per copy) to the counseling office secretary
• Allow one week for the processing of all transcript requests

Former students, employers, and government agencies requesting a transcript must follow the guidelines outlined on the CCPS transcript request site. 

Parents/guardians wishing to withdraw their children from St. Charles High School, or transfer them to another school, must do so in person in the school counseling center. Parents must:

• Submit the completed school withdrawal/transfer form to the Counseling Secretary in the counseling office
• Provide photo ID

Prior to their last day of school attendance, students must:

• Return all school issued books, equipment, uniforms
• Pay any debts or fines to the cafeteria, library, or school
